Leased Trailer Milestone Tracking for Cost Allocation in SAP Transportation Management
Abstract: Leased trailer costs are often invoiced monthly, while utilization occurs across many freight orders and execution states. This paper proposes an event-day allocation model for SAP Transportation Management that links trailer pickup, return, freight order status, agreement validity, and service order creation. The method assigns each chargeable trailer day to used, in use, or unused and applies a conservation rule to prevent duplicate counting across overlapping freight orders. In an April 2026 representative dataset, the model reconciled 90 chargeable trailer days and USD 900 across three trailers, consisting of 35 used days, 7 in-use days, and 48 unused days. Compared with spreadsheet, standard document-based, and attribute-based allocation baselines, the method preserved idle capacity visibility, produced zero duplicate trailer day allocation, and maintained traceability from event to service order. Validation covered 80 scenarios including edge cases and financial reconciliation.
